Abstract
The management of mail archives in an organization has an important role in the administration process. In this case the letter document archiving system becomes one of the factors influential in the management of the letter. So it is expected that the management process of incoming and outgoing mail archives can be done better, faster, and easier. In practice, the administration of mail processing system in the Secretariat of PMII Branch Yogyakarta are still using manual methods. With the number of mails to be processed and more complex the problems to be solved it would be nice if the system is transformed into a computerized system. The method used in this study is Extreme Programing, this method allows the establishment of active communication between developers and clients. There are four stages in this method : planning, design, coding and testing. Based on the results of the system functionality testing found 100% presentation agree the system can run well. From the system useability test, it can be concluded that the respondent testers for the normal user (secretary) strongly agree 41.66%, agree 58.34%, for the general chairman strongly agree 33.33%, agree 66.67%, and for respondent secretary general 52,084% strongly agree, 40,625% agree, 7,291% neutral. So can be drawn conclusions from the results of functionality testing and system useability can run well and accepted by the client.
