abstract: Universitas Gadjah Mada Archives as an archival institution has been given
mandates to manage all archives in UGM. One of its mandate in managing
archives is acquisition. Acquisition is a process for adding archival collection or
holdings to the archival institution which can be done by transfer of archives from
creating agency to archival institution. The aims of this research are to know to
what extent the implementation of archival acquisition in Universitas Gadjah
Mada Archives. Some aspects of this research are (1) acquisition policy, (2)
human resources, and (3) procedures for doing an acquisition which consist of
surveying, arranging, appraising, and accessioning. This is a case study research
with qualitative approach which aims to get insights about some aspects of the
research. Techniques used for collecting data in this research are interview,
observation, and literature study. Interviewee deal with this research are the Head
of Universitas Gadjah Mada Archives, official deals with human resources
development in UGM Archives, archivists from UGM Archives, and archival
expert from the National Archives of the Republic of Indonesia as a triangulation
informan. Data processing in this research was conducted by analysing the
research data, classifying them into categories which match to the aspect of the
research and then they were interpreted based on theories and policies to get to
know the factors caused the problems. The data validity test used was persistent
observation, triangulation and member check. Afterwards, research can be clear
with result display. The results of this research: (1) UGM Archives didn't make
acquisition policy yet, which composed by the head of UGM Archives as an
acquisition strategy; (2) given with only 10 archivists in UGM Archives, they got
obstacles to process archives in many creating agencies in UGM to be accessioned
to the UGM Archives; (3) archival acquisition procedures in UGM Archives
consist of passive acquisition and active acquisition. Most of the passive
acquisition implementation deal with official and academic archives, whereas
active acquisition deals with personal archives in the form of an oral history
interview.
