Abstract

The process of archiving and distributing correspondence in various institutions still relies on manual methods. In addition, ministry departments have undergone development to facilitate users by creating the Sistem Naskah Dinas Elektronik (SINDE) application. This research employs a qualitative method, with informants consisting of the SINDE application Admin Unit and Operators. Data collection techniques include observation, interviews, and documentation. Data analysis is performed through transcription, coding, grouping, and contrasting, while data validity is ensured through triangulation of sources. Based on the research findings, it can be concluded that: First, the Quality Assurance Office for the Special Region of Yogyakarta, in its archiving practices, demonstrates that the archive classification in SINDE follows alphabetical and numerical formats in accordance with the guidelines set by the Ministry of Education and Culture Research and Technology Regulation number 20 of 2022. Second, the optimization of SINDE application usage has adapted to technological advancements, as evidenced by: (a) Training for application users, including SINDE Admin Unit and Operators. (b) Educational support, such as user guidebooks. (c) Regular application updates. (d) Adequate devices and a stable network. Third, users of the SINDE application face challenges such as notifications, heavy servers, and unstable networks. However, these issues do not have fatal consequences, as solutions have been found for each problem.
