Abstract

This research aim to analyse the management of grey literature (GL) in the Institutional Repository of IPB University based on the OAIS (Open Archival Information System) reference model. The total number of items of grey literature collection archived by IPB University Library reaches 68,800. Tens of thousands of successfully uploaded items do not exclude the challenges of collection digitisation. One of the problems encountered from this challenge concerns the obligation of collection accessibility due to institutional repository data leakage and collection preservation that was not following archival principles. This study used qualitative research methods. The subjects of this research were Librarians and Institutional Repository ICT Managers of IPB University. The object of this research is the process of managing grey literature archived in the Institutional Repository of IPB University, then analysed it with the components of the OAIS model. Data collection techniques used in this research were observation, interviews and documentation. Test the validity of the data is done by testing the credibility, transferability test, confirmability test, and dependability test. The collected data were analysed using the Miles & Huberman model through data condensation, data display and drawing conclusions. The results shows that substantially the management of grey literature (GL) in the Institutional Repository IPB University has met the general standards of the OAIS (Open Archival Information System) model despite experiencing various challenges. The OAIS components fulfilled in the Institutional Repository IPB University are the external environment, which includes producers, management and consumers. The internal environment which includes ingest, archival storage, data management, preservation planning, access, and administration. Along with the three information packages includes submission, archival and dissemination. There are several component variables that have not been maximally implemented such as submission agreement, preservation planning strategies, and limited repository content.
