Abstract

Unclear criteria and initial screening mechanisms in the sourcing process often lead to inefficiencies, wasted resources, and high vendor dropout rates in later stages. This study aims to develop an objective, structured, and practical model for evaluating potential vendors during the sourcing stage at the Category Management and Sourcing Department of PT XYZ. The model was developed using the Analytical Hierarchy Process (AHP) to determine the priority weights of criteria based on expert judgment, integrated with sensitivity analysis to test the model’s stability against changes in preferences, and validated retrospectively using 15 historical vendor datasets. The research results identified four main criteria: Legitimacy and Compliance with a weight of 0.46, Credibility or Experience at 0.26, Capability at 0.21, and Accessibility at 0.07, along with 13 sub-criteria. The six subcriteria with the highest global weights Brand at 0.175, Company Certification at 0.156, Project Experience at 0.130, Customer Testimonials at 0.129, Previous Partners at 0.081, and Status Maker at 0.078 form the foundation of a three-stage sequential screening model using an elimination system. Sensitivity analysis demonstrates that the model remains stable under ±10% weight changes, with a maximum ranking change of 30.77%, while still remaining adaptive to the company’s strategic dynamics. The model testing yielded 100% accuracy in predicting vendor suitability without any false positives or false negatives. This study contributes a decision support tool that enhances the efficiency, objectivity, and accountability of the initial sourcing process, while enriching the MCDM literature with evidence that reputational aspects such as brand are more dominant than operational aspects during the exploratory sourcing phase.
